The incumbent of this position conducts studies of work processes and procedures. Identifies problems, reviews production standards, and makes tentative recommendations for problem resolution. Develop and administer a system of reviews, management controls, evaluations, and checklists designed to ensure conformance with law and regulations. Plan, coordinate, and carry out the successive steps in fact-finding and analysis of issues necessary to complete each phase of assigned projects.
Assists in conducting reviews and analysis of administrative directives and policies issued by AHA in order to improve work flow efficiency within the office.
Serves as a Purchase Card Holder; responsible for initiating, monitoring, and processing purchase orders for recurring and non-recurring service contracts, training, equipment, and supplies.
Gathers information, identifying and analyzing issues and providing recommendations for assigned programs.
Provides advice and guidance, develops written materials, and presents facts to personnel on administrative and personnel directives and instructions.
Advises on the potential benefits/uses of automation to improve the efficiency of administrative support or program operations.
Independently coordinates with multiple stakeholders (internal and external).
Establishes and/or utilizes control procedures to maintain status of actions to ensure that deadlines are met; independently reviews correspondence/documents/briefings for grammar, punctuation, format and content before submitting for executive level signature. Maintains and monitors suspense system for the organization, obtaining extensions when necessary.
Evaluates and advises on the organization, methods, and procedures for providing administrative support systems such as records, communications, directives, forms, files, and documentation.
Researches and investigates new or improved business and management practices for application to agency programs or operations.
Participates in/or conducts studies, group projects or surveys, analyzing findings and making recommendations which support assigned mission.
Uses office automation systems and various software packages to accomplish work. Assignments include (but are not limited to) text editing, files creation, use of electronic mail, automated calendars, suspense systems, spreadsheets, databases. Uses knowledge of software utilities and function commands to manipulate text to accomplish formats, revisions, deletions, additions, etc.
Performs administrative tasks (e.g., arranges meetings including space, time, telecommunication information, managing calendars, preparing travel arrangements, developing meeting agendas and background material, filing (manual and electronic and in accordance with governing regulatory procedures), maintaining inventory and ordering office supplies, etc.).
Performs technical work; identifies potential, actual problems and probable causes and provide recommendations for resolution.
Assists in the preparation of documents for applicable meetings and/or presentations; ensuring all documentation is accurate and assembled in the appropriate format.
Resolves most problems and work issues without the assistance of a manager, project/program manager, team leader or more experienced professional.
